Terms & Conditions

General:

1. Promotion valid for Booking and Travel Windows noted at participating resorts.This package does not apply for dates from December 19 to January 6 including Thanksgiving dinner dates.

2. Promotion applies to reservations made by any method as long as at least one reservation is through our Call Center, this being the one that will be considered Group Leader.

3. For Tour Operators: Promotion not combinable with any flexible or contracted group promotion. In order to receive the added value, the partner must report the name and contact details of the Group Leader at time of booking, which cannot be less than 21 days prior to arrival.

4. To receive the benefits of the promotion, it is essential that the Group Leader

5. communicate with the Property Contact for each property no less than 14 nights prior to arrival to agree on options and details.

6. This promotion applies exclusively to Family Reunions or Social Groups without coordination needs. Not applicable to Weddings or Contracted Groups. Promotion is combinable with other promotions, though the added values granted cannot be combined with other promotional values. For clarity, this means that this promotion is combinable with a general promotion that, for example, grants Resort Credits, but these Resort Credits cannot be used to pay for the dinner of a participant traveling in a Room Only reservation. 

For Each Added Value:

Value :1 Upgrade two single unit reservations (Deluxe, Jr. Suite or One Bedroom Suite) into a Two Bedroom Suite.

1. Upgrade must be requested by the Group Leader to our Call Center agent once they have at least 4 confirmed reservations for their group.

2. Upgrade applies to all nights that comply with the promotion's requirements. Additional nights can be quoted and paid via Call Center. In the event that Cancellations and/or No Shows cause non-compliance, reservations with Upgrade must cover the difference in rate or be relocated to the contracted categories.

3. Upgrades cannot respect views, and ni no case will we provide an upgrade to Two Bedrooms with Ocean View category.

4. Upgrade subject to availability at the time of request by the Group Leader. if there is no Two Bedroom category available at the time of request, no compensatory value will be granted and the Group Leader agrees to proceed without this added value.

5. Under no circumstances can locations, bed types and/or special request such as Adjoining Rooms @ADJ), Double Beds (@DD), etc. be guaranteed.

Value 2: One hour semi-private cocktail with hors d'oeuvres included.

1. The 1-hour semi-private cocktail with complimentary hors d'oeuvres will always be the day after the arrival of the Group Leader at 5pm at the locations determined by each hotel, prior to the dinner reservation.

2. The cocktail is complimentary for all guests registered in rooms identified by the Group Leader, regardless of the contracted meal plan, up to a maximum of 9 rooms. Additional passengers must be quoted and paid in advance with the Property Contact.

3. The complimentary cocktail does not include decoration, audiovisual services or coordination services, which can be contracted with the Property Contact.

 Value 3: One evening with Group Reservation up to 20 seats at select restaurants.

1. The Group Reservation will always be the day after the arrival of the Group Leader at 6pm in the Restaurant determined by each hotel, after the semi-private cocktail. Any change in schedule, location or people will be subject to additional charges.

2. The Group Reservation applies to all registered guests in rooms identified by the Group Leader up to a maximum of 20 people (adults, minors and/or infants).

3. It is necessary for the Group Leader to choose the three-course menu that will be offered for their group dinner, which will be at no additional charge for clients on an All Inclusive plan and will have a mandatory cost of $49usd (plus taxes of 16% and tips of 15 %) for European plan guests (50% discount for children under 12 years old). Alternatively, the Hotel may - at its sole discretion - offer reservations in a Buffet restaurant, in which case the menu will be that of the buffet and the price for EP clients will be at the cost mentioned above or the public price of the buffet, whichever is less.

4. It is essential that all the details of the Group Dinner be agreed with the Property Contact a minimum of 14 days prior to arrival. If this condition is not met, the resort's ability to grant this value will be subject to availability and will not cause any residual or compensatory value.

5. Special and/or additional services to those offered in the promotion will generate an extra cost and may require the hiring of coordination services from the Groups and Weddings department.

Value 4: Special Amenity for rooms celebrating a life event (birthdays or anniversaries).

1. The Special Amenity wil be a mini-cake and will be sent during the special day to the rooms for which a request is submitted in a timely manner.

2. It is the Group Leader's responsibility to request the delivery of these special amenities to the Responsible Contact a minimum of 14 days prior to the Group Leader's arrival. Last minute requests are not allowed.

Value 5: Group Photo Session, up to one hour, and delivery of one 5x7 photo print selected by photographer per group.

1. The Group Photo Session will always be the day after the arrival of the Group Leader at the location determined by the photographer at 4pm, prior to the Semi-private Cocktail Party.

2. The Photo Session will have the duration determined by the photographer, which should not exceed 1 hour from the stipulated time, regardless of delays on the part of the group participants.

3. The complimentary printed photograph will be one per group (not per room) and will be determined by the photographer.

4. The remaining photos may be purchased from the photographer directly based on their prices and promotions and cannot be paid for with promotional values such as resort credits, discounts or other promotions.
